Referral Marketing - Hospital
Identifying Target Audience in the Hospital
- Discharge Planners and Social Workers: They have direct contact with patients who need post-hospital care and can provide direct referrals.
- Doctors and Nurses: These healthcare professionals also interact with patients and their families and can recommend home care options.
- Administrative Staff: These individuals can help spread the word about your services and may refer patients indirectly.
- Patient Navigation Coordinator: These individuals guide patients through the healthcare system, aiding them in communication between healthcare providers and coordinating appointments and services.
Preparation
- Prepare a comprehensive and professional presentation of your services, emphasizing the benefits, quality of care, and unique selling propositions of your home care agency. Include patient success stories if available.
- Have brochures, flyers, business cards, and other promotional materials at hand.
- Familiarize yourself with hospital rules regarding solicitations, as some have strict regulations about outside vendors.
- Schedule appointments with identified hospital staff if possible. A direct approach is often more effective than cold calls.
- Introduce yourself and the agency you represent. Be clear, concise, and professional.
- Explain your services and how they can benefit the hospital staff in their roles, the hospital in general (e.g., reducing readmission rates), and their patients.
- Leave your marketing materials for their reference.
Referral Program Explanation
- Explain your referral program, including what incentives (if any) you offer for successful referrals.
- Be transparent and make it clear that you're looking for a mutually beneficial relationship, not just a one-sided benefit.
- Focus on finding out their pain points (example: readmittance of clients to the hospital) and specifically explain how your agency is going to help with that challenge.

Common challenges for hospitals include:
- Overcrowding – Hospitals struggle with overcrowding which leads to longer wait times, rushed care, and more mistakes. This also creates a need to lower the readmittance rate of patients.
- Staff Shortages – Hospitals often deal with shortages of medical professionals due to high turnover and a high-stress environment.
- Financial Constraints – Rising healthcare costs, underfunding, and the complexity of insurance can place a heavy strain on hospital resources, meaning they want to lower the readmittance rate as much as possible.
- Care Coordination – Hospitals are often the hub of a patient's care and require effective coordination both in and outside the hospital.
- Transition of Care – Ensuring smooth transitions when patients are discharged involves coordination with home care providers, rehab facilities, and outpatient services to ensure the patient receives the necessary follow-up and does not end up back in the hospital.
Follow-Up
- Send a thank you note or email after your initial meeting, expressing appreciation for their time.
- Keep in touch regularly but respectfully. A monthly or bi-monthly check-in may be appropriate. This keeps your agency at the top of their minds when they have patients who require home care services.
- If you receive a referral, promptly acknowledge it and thank the referrer.
Building Relationships
- Regularly update hospital staff about new services, changes, or any relevant updates from your agency.
- Consider offering educational sessions, workshops, or lunch-and-learns on relevant topics. This is not just about marketing your agency but also providing value to hospital staff. Examples of educational sessions or workshops include:
- Understanding Home Care Services: A workshop explaining what home care is, the range of services offered (like personal care, medication management, and therapy services), and how it can be a beneficial part of a patient’s care plan.
- Navigating Home Care: This session could provide information on how to access and arrange home care services, understand costs and insurance coverage, and discuss what to look for in a quality home care provider.
- Managing Chronic Conditions at Home: A workshop focusing on how home care can support patients with specific chronic conditions, like heart disease, diabetes, or COPD, emphasizing the role of home care in managing these conditions effectively at home.
- Transitioning to Home Care: This session could discuss the transition process from hospital to home care, highlighting how home care can help reduce hospital readmissions and support better recovery outcomes.
- The Role of Home Care in Post-Surgical Recovery: A workshop that details how home care can assist with post-surgical recovery, including wound care, medication management, and rehabilitation services.
- Home Safety Assessments and Modifications: An educational session that outlines how home care providers can help assess and modify a home to improve safety and accessibility, particularly crucial for patients with mobility issues.
- Palliative and End-of-Life Care at Home: Discussing the support and services home care can provide for palliative and end-of-life care, focusing on pain management, emotional support, and respite care for families.
- The Role of Home Care in Mental Health: A session that addresses how home care services can support patients with mental health conditions, including depression, anxiety, and dementia.
- Show appreciation for ongoing referrals, for example, with a small gift, a personalized thank you note, or an annual appreciation event.
